Apostille and Legalisation — If Necessary

Not every notarised document needs further authentication — but if yours is for use overseas, the receiving authority may require an apostille or consular legalisation before they will accept it. There are two routes depending on the destination country:

Apostille — for countries that are members of the Hague Apostille Convention (most of Europe, the USA, Japan, Australia, and many others). The FCDO issues an Apostille certificate that authenticates the notary’s signature and seal. We also offer e-Apostille for documents certified with a Qualified Electronic Signature — a fully digital route with no paper required.

Consular legalisation — for countries that are not members of the Hague Convention (e.g. the UAE, China, Saudi Arabia). The document is first authenticated by the FCDO, then legalised by the relevant embassy or consulate in London.

Which Technology Do You Use for Video Notarisation?

We use Microsoft Teams for video conferencing appointments — the industry standard for secure remote online notarization. We do not use Zoom, Skype, or Docusign for remote notarisation.

Alongside Teams, we have built our own proprietary online notarisation system powered by Zoho, which manages the entire process from enquiry through to document delivery. This gives our clients a seamless user experience — from booking your appointment to receiving your notarised document, everything is tracked and managed through a single platform.

You do not need a Microsoft Teams account. When we book your appointment, we send a Teams meeting link to your email address. Simply click the link at the appointed time — it opens in any web browser on your computer, tablet, or mobile device.

If you experience any connection issues, we reschedule at no extra charge. A stable internet connection and a device with a camera and microphone are the only specific requirements. Following best practices for remote online notarization, we record every session for compliance.

Will My Consulate or Court Accept a Remotely Notarised Document?

Many United Kingdom and overseas authorities routinely accept notarized documents via video conference. The notarial certificate issued by our UK Notary Public states “verified via video conference call on [date]”, which is transparent to the receiving authority.

Do I Still Need to Post the Original Document?

It depends on the document types and the receiving authority’s legal requirements.

If a wet-ink notary seal is required: after the video conference, you post the originally-signed paper documents to us by tracked delivery. We attach the notarial certificate and notary seal physically, then return the notarised document to you by post or arrange hand-collection.

If digital documents are accepted: we certify the document using a Qualified Electronic Signature (QES) — the highest level of digital certificates security. The fully certified digital documents are emailed to you instantly, with no posting of paper documents required. QES also enables us to obtain e-Apostille services from the FCDO for Apostille certificates.

Are There Documents That Cannot Be Notarised Online?

Most types of documents can be notarised via video conference as part of the remote online notarization notary process. However, certain original documents cannot be certified remotely because they require physical inspection by the notary. These include birth, death, marriage, civil partnership and adoption certificates, police certificates such as ACRO or Disclosure and Barring Service (DBS) certificates, and disclosure certificates for Scotland and Northern Ireland.

For these document types, you will need to attend in person visits or post the original document to our office for notarisation. Documents that must be legalised with a specific consulate may also have additional legal requirements — check with the consulate first.
